Lead Panel: What is it?


The Lead Panel automatically collects data from these users and creates a list, accessible from both our CMS, Paraty Hotel Manager, and the Call Seeker tool. You can filter and sort this list as you wish, based on various criteria, to prioritize the recovery of the reservations that interest you most (based on their value, lead time, level of purchase intent, etc.).

Obviously, not all properties will have the same capacity to capture data, and some will be more dependent than others on extracting it from the user's depth in the booking process. For example, if your property has a loyalty program, the potential for lead generation increases exponentially because the moment the user registers or logs in, they will not only be given their contact information on a plate, but they will also be giving their consent to be contacted (GDPR compliance). But whether or not you have a club implemented, you still have a lot to gain from the Lead Panel.

Lead Panel Highlights


Below we list the highlights of the Lead Panel:
  • Data extraction: The more data the user provides, the more data will be extracted. From first and last name to email, phone number, and country of origin.

  • Lead categorization: The tool identifies and lists several key lead types.
    • Abandoned carts: Users who reach at least the first step of the booking process, i.e., room selection.
    • Payment errors: Users who complete all steps of the booking process, attempt to pay, and encounter some type of issue (unsupported card, credit card limit, failed transaction, etc.)
    • Call Seeker Quotes: Any quote sent through Call Seeker will also be recorded in the Leads Dashboard.

  • Filters and segmentation:
    • Filter system to organize leads from highest to lowest importance, based on criteria such as lead type, lead time, check-in and check-out dates, reservation value, hotel, etc.
    • Leads from the last week: A button allows you to access leads generated during the last week with one click.
    • If you're a chain or manage more than one property, you can work as a timeshare by selecting several hotels at the same time.

  • Phone icon: The phone number isn't a trivial piece of information, as it allows us to contact the lead through the channel with the best conversion rate. Therefore, if the lead includes this information, it will be clearly identified with a green phone icon.

  • Automatic email: The tool includes sending an automatic email 4 hours after the customer abandons the cart, with a link to resume the reservation where they left off (if they only made it to the room selection step but didn't click on any, this link will simply restart the search).

  • Lead status:
    • Leads enter with a "new lead" status, which can be modified to "contacted," "interested," or "converted." This creates a small sales pipeline for agents to use.
    • Each lead allows for comments to be made within for internal agent communication.

  • The keys to the effectiveness of the Lead Panel


    The real key to the effectiveness of a tool like the Lead Panel lies in the potential guest's current stage (BoFu) and clear purchase intent. In other words, we're talking about people who have already shown clear interest in your property, or even better, a clear intention to book.

    In this sense, outbound phone campaigns that our agents or your reservations staff can carry out are "hot" and, therefore, much more effective. However, speed in implementing them will be crucial, as the more time we wait, the more the lead will cool off.

    Hence, we recommend, as a best practice, classifying leads using the filtering system, sorting them from highest to lowest booking probability. From our perspective, the following scenarios are the most interesting:
    1. Payment errors: Without a doubt, this is the best opportunity, as the user showed more than just an intention and even attempted to pay and complete the reservation.
    2. Lead time: The closer the stay date is, the greater the sense of urgency and immediacy the guest will experience. These leads also have great conversion potential.
    3. Booking value: This doesn't speak so much to guest sentiment as to strategic interest for your property, but it makes sense to prioritize higher-value bookings.

    What about the future? A living tool


    As is the case with all our tools, the Lead Panl doesn't stop there. In fact, we're already working on new features and integrations that will make this tool an even more powerful resource:
    • Business Intelligence: Performance measurement through an integrated BI system that allows you to analyze conversions by agent, by lead type, the number of bookings recovered and the associated revenue, etc.
    • Capturing leads from AI chatbots and conversational agents: More and more users are interacting with AI-powered chatbots and conversational agents for more than just informational queries, and in the short term, searches or quotes made through these will also be collected by the Lead Panel.
    • Integration with “on request” bookings: Another very interesting feature is the integration of the Lead Panel with “on request” bookings (when there is no availability but the user is offered the option to request a booking in case the situation changes).
